The TalentLMS - TalentHR integration helps you connect employee and training information across both platforms. Depending on your setup, you can synchronize users, assign training through TalentHR, track course progress, and automate learning-related actions.
Use the sections below to find answers about synchronization, training, permissions, workflows, APIs, and other integration options.
A. Integration setup and synchronization
1. Is the TalentLMS - TalentHR integration one-way or two-way?
You can choose the synchronization direction that best fits your setup:
- TalentHR → TalentLMS: Employee data is synchronized from TalentHR to TalentLMS.
- TalentLMS → TalentHR: User data is synchronized from TalentLMS to TalentHR.
- Two Way: Data is synchronized between TalentHR and TalentLMS.
With Two Way synchronization, employee updates made in TalentHR flow to TalentLMS. Changes made in TalentLMS do not overwrite existing TalentHR employee fields.
For the steps on how to set up the integration and select the synchronization direction, read this article.
2. What does the native TalentLMS - TalentHR integration include?
The integration currently supports:
- Synchronizing users between TalentHR and TalentLMS.
- Displaying an employee's assigned, in-progress, and completed TalentLMS courses in TalentHR.
- Assigning TalentLMS courses through TalentHR Workflows.
- Assigning TalentLMS courses through general tasks in TalentHR.
3. Can TalentLMS branches be synchronized?
Yes. During the integration setup, you can select a specific TalentLMS branch or select All to synchronize users across the entire portal.
4. What happens if employees already have accounts in both systems?
Users are matched primarily by email address.
When synchronizing from TalentLMS to TalentHR, the TalentLMS ID is also checked.
If a matching profile does not exist, a new profile is created according to the synchronization direction you selected.
5. Which employee details are synchronized?
The following fields synchronize by default:
- First name
- Last name
- Language
Additional supported employee attributes can also be synchronized when matching custom fields exist in TalentLMS.
Custom-field names and field types in TalentLMS must match the corresponding TalentHR fields exactly, including capitalization.
6. Can department, job title, and location synchronize between the platforms?
Yes. Supported additional attributes include:
- Department
- Job title
- Location
- Division
- Hire date
- Date of birth
- SSN
- City
- Country
TalentLMS must have corresponding custom user fields with the exact matching names and field types.
The direction in which the information is transferred depends on the synchronization option selected for the integration.
7. Are terminated employees synchronized?
If a terminated TalentHR employee already has a corresponding TalentLMS account, that TalentLMS account is also made inactive.
If the terminated employee does not already exist in TalentLMS, they are ignored and their data is not transferred.
8. What happens to TalentLMS access when an employee leaves the organization?
With TalentHR → TalentLMS or Two Way automatic synchronization enabled, terminating or deleting an employee in TalentHR makes the corresponding TalentLMS account inactive.
9. We also train customers and partners in TalentLMS. Will they become employees in TalentHR?
With TalentLMS → TalentHR or Two Way synchronization, active TalentLMS users within the selected synchronization scope can be created as TalentHR employees.
If your TalentLMS portal also contains customers, partners, or other external learners, use an employee-only branch when configuring the integration. This keeps the synchronization limited to your workforce.
10. What hire date does TalentHR use when importing an existing TalentLMS user?
TalentHR first checks the TalentLMS hireDate custom field.
If that field contains a valid date, TalentHR uses it as the employee's hire date.
If the field is missing, empty, or contains an invalid value, TalentHR uses the TalentLMS account creation date instead.
To preserve an employee's actual start date, populate the hireDate field before synchronization.
B. User access and navigation
1. Can employees switch between TalentLMS and TalentHR without signing in again?
Yes. The app switcher lets users move between connected products without signing in again.
Its availability depends on the successful synchronization between the products. What the user can access in each platform continues to depend on their permissions there.
To learn more about switching between TalentLMS and TalentHR using the app switcher, see this article.
C. Training, tasks, and workflows
1. What TalentLMS training information can I see in TalentHR?
TalentHR can display:
- Assigned courses
- Courses in progress
- Completed courses
- Course completion dates
- Acquired certificates
Certificates can also be downloaded from TalentHR.
For more information on reviewing and managing employees' TalentLMS training from TalentHR, see this article.
2. Can I automatically assign training during onboarding or when an employee changes roles?
Yes. TalentHR Workflows can assign TalentLMS courses when specific events occur, such as:
- Adding a new hire.
- Updating an employee field.
- Moving an employee to a different department or job title.
You can target employees based on criteria such as department or job title, schedule actions, and configure reminders.
The TalentLMS integration must be active, and the workflow must be published for it to run automatically.
For more information on creating and managing Workflows in TalentHR, see this article.
3. If onboarding training is due three days after an employee starts, when is the course assigned?
The course is assigned when the workflow reaches the training action.
The due date determines the deadline for completing the training. It does not delay enrollment.
For example, a course can be assigned when the onboarding workflow runs while setting its completion deadline to three days after the employee's hire date.
To learn more about Workflow scheduling in TalentHR, see here.
4. Does a new hire need a TalentLMS account before a workflow can assign training?
Yes. The employee must already exist in TalentLMS when the training action runs.
With TalentHR → TalentLMS or Two-way synchronization, and automatic synchronization enabled, newly hired TalentHR employees are automatically created in TalentLMS.
This is an important setup consideration when using TalentLMS courses as part of onboarding automation.
When a new hire is added to TalentHR through the Hiring tool, you can also choose to add that employee to the relevant new-hire workflow.
5. Can a TalentHR general task be linked to completing a TalentLMS course?
Yes.
With the TalentLMS integration active, you can link a general task from the employee profile to a specific TalentLMS course.
Assigning the task enrolls the employee in the course. When the employee completes the course and that completion information synchronizes back to TalentHR, the task is automatically marked as complete.
You can also set a due date for the task and track its status in TalentHR.
For the steps on how to create a general task and link it to a TalentLMS course, read this article.
6. Can a workflow wait for HR or a manager to complete a task before assigning training?
Yes.
A workflow can pause until a preceding task is completed.
For example, you can assign an approval task to HR and configure that task to block the next workflow action. Once HR completes the task, the workflow continues and assigns the training.
A training action itself cannot block the following workflow action.
For more information on scheduling actions and blocking the next action until a task is completed, see this article.
7. What happens if a training task expires before the employee completes the course?
If the training task has already expired and the employee completes the TalentLMS course afterward, the training workflow cannot be marked as completed.
However, the course will still appear as completed in the employee's Training tab, together with the actual completion date.
D. Permissions and employee visibility
1. What if certain users must not see information about employees from other parts of the organization?
Currently, employee visibility can be limited to themselves, peers, and teams.
Features such as the organizational chart and calendar can also be hidden completely. These settings currently work as on/off controls rather than granular visibility filters.
Additional visibility options are planned for areas such as:
- Departments
- Locations
- Divisions
- Descendants in the organizational hierarchy
More flexible grouping based on custom fields is also planned for a future update.
E. API and other integrations
1. Does TalentHR provide a public API for custom integrations?
Yes. For more information on using the TalentHR Public API for custom integrations, see this article. You can also find all available endpoints in the TalentHR API documentation.
2. Do we need a developer for every connection to another application?
No.
TalentHR integrations with Zapier and Make.com support predefined triggers and actions without requiring custom code.
For example, a newly created TalentHR employee could automatically be added to a Google Sheet.
Whether Zapier or Make.com can support a particular use case depends on the triggers and actions available in both applications. More specialized integrations may require a custom API connection.
For the steps on how to connect TalentHR with third-party applications through Zapier, read this article. For information on connecting TalentHR with Make.com, see here.
F. Trial and testing
1. Can the TalentLMS - TalentHR integration be tested during the free trial?
Yes.
Customers who register for the free trial automatically receive a 14-day Premium trial, which allows them to test the integration, provided they have a paid TalentLMS subscription.
