Alongside pre-built fields already part of the system, TalentHR allows you to build custom fields and utilize them to include additional information on your Assets.
To add a custom Asset field:
1. Sign in to your TalentHR account as an Admin or an HR Manager, and go to Settings (1).
2. Click Assets (2).
3. Select the Asset fields (3) tab.
4. Click on Add custom field (4) to create a new data field for your Assets.
5. Add a name (5) for your custom field.
6. Specify the custom field's type (6). A custom field may be any of the following types: Text, Long text, Single choice, Multiple choice, Date, Link, and Employee.
7. Specify which asset type (7) this custom field will apply to (i.e., inventory, membership, or both).
8. Configure the custom field's View & Edit permissions (8) for the different user roles on your portal. The options are: None, Themselves, Their team, All.

9. Save (9) your field.
Managing Asset fields (pre-built or custom)
On this page, you can also see all the pre-built fields and the custom fields you’ve created; their type, and whether they apply to inventory, memberships, or both. Here, you can:
- Enable/disable (1) a field (pre-built or custom).
- Edit (2) a field, or manage its access permissions for different user roles.
- Delete (3) a field (available for custom fields only).
| Note: When you disable a field, all field data is retained and will become visible again if you re-enable it. On the other hand, deleted custom fields can't be restored and all data is lost. |
To configure expiration settings for custom Asset fields (Date fields only)
You can set custom Date fields to expire and notify selected recipients ahead of time.
1. In the Asset fields list, click the clock (1) icon next to any custom Date-type field.
2. Choose how many days before the expiration date (2) to send the notification.
| Note: The expiration date is set per Asset, based on the value entered to each Asset's corresponding field. |
3. Add up to 3 notification recipients (3):
- Me: yourself
- With email: an external email address
- Other employee: any person in the organization (e.g., an HR Manager)
4. Click Save (4) to confirm.
