The Time off Report in TalentHR provides Admins and HR Managers with a clear view of employee absences across the organization.
It includes two dedicated tabs:
A. Patterns: Helps analyze leave trends effectively
B. Budget: Monitors time off balances
To access the report:
1. Sign in to your TalentHR portal as an Admin or an HR Manager and go to Reports (1).
2. Select the Time off (2) option.
A. Patterns tab
The Patterns (3) tab provides a high-level view of absence trends across your organization. Use the filters (4) at the top to narrow results by:
- Location
- Division
- Department
- Period (e.g., Last 12 months)
This section includes two visual charts (5):
Days off
This displays the number of days taken per time off type (e.g., Sick Leave, Vacation, WFH) by month, over the selected period.
Per day (%)
It breaks down absences by weekday, showing the percentage of time off taken on each day. This helps identify potential trends like frequent absences on specific days.
B. Budget tab
The Budget (6) tab gives you a per-employee breakdown of used and available time off balances, across all applicable policies and time off types.
At the top of the tab, you’ll find the following (7):
- Period filter: Select the year you want to review.
- Employee filter: Show all users or filter by name.
- Time off types: Shows the time off types currently active on your TalentHR portal (e.g., Vacation, Sick Leave, etc.).
- Export button: Download an Excel version of the report.
Each employee row (8) displays:
- Their name, position, and department
- Their used / total balance for each selected time off type
(e.g., 5/26 means 5 days used out of 26 available)
Exporting the report
Click the Export (9) button in the top-right corner of the Budget tab to download a full report in Excel format.
The exported file (10) includes:
- Each employee’s name and role
- Their department, division, and location
- All selected time off types
- Used and available balances per type (both monthly, as well as in total)
- Detailed monthly tabs listing the individual time off bookings and the dates they were taken
| Note: The report includes information about all booked time off, including future time off. |
This is ideal for sharing with finance, payroll, or other stakeholders.
Understanding the exported report
The exported Excel workbook is organized into multiple tabs, each serving a different purpose:
- Used, Remaining, and Total: Annual summaries of each employee's time off balances.
- Monthly tabs (January - December): Monthly summaries showing the total time off taken for each employee.
- Details tabs (January - December): A detailed breakdown of all time off bookings for each month, including:
- Employee name
- Time off type
- Start and end dates
- Duration of the booking
If you'd like to see who was on leave during a particular period, such as a specific month, the Details tab for that month is the best place to look. It provides the full timeline of time off bookings and can also be filtered within Excel to focus on specific employees, dates, or types of leave.
