Four Types of Time Off are available on TalentHR by default:
- Vacation
- Sick leave
- WFH
- Bereavement
Note: The number of days allotted to Time Off Types automatically applies to new hires as their default budget. If you wish to work with Time Off accrual instead, see How to work with Time Off Accrual Policies in TalentHR.
As an Admin or an HR Manager, you can edit the names and default allowances of your available Time Off Types, deactivate them, and configure how requests for each Type are handled.
The default Days value of a Time Off Type defines the initial manual Time Off Budget that new hires receive when they are added to TalentHR.
Note: The default budget configured for a Time Off Type is mainly relevant when working with manual Time Off Budgets. If you use Accrual Policies instead, the employee's accrued balance is determined by the applicable Policy and its Starting balance settings. Accrual Policies can also be configured to remove existing fixed/manual budgets. Read more in How to work with Time Off Accrual Policies in TalentHR.
What you can configure for a Time Off Type
For each Time Off Type, you can configure whether:
- Requests require approval or are approved automatically.
- Employees can book another Time Off Type for the same period.
- The Time Off Type is displayed by name on the Calendar or shown as Vacation for privacy.
- Employees can submit requests that exceed their remaining budget.
- Time Off requests are counted using the employee's working days or all calendar days in the selected period.
How to edit a Time Off Type
1. Sign in to your TalentHR account as an Admin or an HR Manager and go to Settings → Time off (1).
2. Select the Types (2) tab to view your available Time Off Types.
3. Toggle between Active or Inactive (3) for any Time Off Type.
4. To edit a Time Off Type, click the pencil (4) icon next to it.
5. Change the name of the Time Off Type and/or its allotted Days (5), i.e., the initial manual balance that new hires receive when they are added to TalentHR.
Note: Time Off Budgets can be allotted in decimal formats. The lowest fraction TalentHR accepts is 0.001 days. The number of Days configured for a Time Off Type automatically applies to new hires as their default manual budget.
Note: You can edit your employees' fixed/manual Time Off Budgets at any time.
6. Toggle Needs approval (6) on or off, depending on whether requests for this Time Off Type should require approval.
- When enabled, the request follows the employee's configured Time Off approval process.
- When disabled, requests for this Time Off Type are approved automatically.
Note: When approval is required, the request is handled according to the employee's Manager and assigned Time Off Approvers.
7. Toggle Display time off type (7) as needed.
- Enable it if you want the Time Off Type to be shown by name on the Calendar when an employee has booked Time Off.
- Disable it if you want to hide the Time Off Type from the Calendar for privacy reasons. When disabled, booked Time Off for that Type is shown as Vacation.
8. Toggle Block other time off (8) as needed. When enabled, an employee who books this Time Off Type cannot book another Time Off Type for the same period.
9. Toggle Exceeds the remaining budget (9) as needed. When enabled, employees can submit requests for this Time Off Type even when the request exceeds their remaining budget.
10. Toggle Count in calendar days according to how requests for this Time Off Type should be calculated.
- Leave it disabled if requests should be calculated according to the employee's working days.
- Enable it if every calendar day in the selected Time Off period should count toward the request.
Note: The Count in calendar days setting controls how the duration of an employee's Time Off request is counted. It does not change how an Accrual Policy generates or prorates an employee's balance.
11. Click Save to apply your changes.
Note: The four default Time Off Types listed at the beginning of this article are always set to Paid. You can also create custom Time Off Types.
How calendar-day counting differs from accrual proration
The Count in calendar days setting applies to the duration of Time Off requests. Accrual generation is calculated separately.
When TalentHR needs to generate a proportional accrual for part of an accrual period or Time Off cycle, the proportion is calculated using calendar days. The employee's working-day schedule and configured public holidays are not deducted from the accrual-proration calculation.
Example: A yearly Accrual Policy grants 15 days for a January 1–December 31, 2026 cycle. If an employee becomes eligible on June 1, the relevant portion of the cycle is 214 calendar days out of 365. The proportional entitlement is therefore calculated as 15 × (214 ÷ 365) = 8.79 days. Weekends, the employee's working-day pattern, and configured public holidays do not reduce the number of days used in this accrual calculation.
Note: This distinction means that a Time Off Type can still be configured to count employee requests using working days while the corresponding Accrual Policy uses calendar days whenever it needs to calculate a proportional accrual.
