Performance reviews
Who can see the employee’s performance review?
An employee's performance review is visible to the employee and their manager. The Admin or an HR Manager can view the reviews of all employees.
Can an HR Manager see their own data in the Performance Reports?
Yes, all employees’ data will be included, including the HR Manager’s.
How many questions are included in the review?
There are always four questions for managers and four questions for employees.
What are the questions and how are they used in Reports?
The first two questions are multiple-choice and each possible answer comes with a score of 0 to 5. These scores are utilized in Reports. The first two questions asked of the employee’s manager are used to reflect the employee’s value and engagement. These two questions are never visible to the employee. The first two questions asked of the employee are used to gauge how valued they feel in the organization and what helps them achieve their best work. The last two questions asked of both employees and their managers contain free text fields.
When do reviews start?
Reviews start based on the Date field as defined for each review cycle under Settings > Performance. The review cycle will open at 00:01. Email notifications to employees and managers are sent approximately at 07:00, according to the time zone setting of your portal. The first email notification will be sent on the start date. HR Managers will receive an additional email a day prior to the start date of the review cycle.
Can I change the default questions?
Yes. You can edit the questions.
The current questions reflect the values that are most required for assessing and managing performance in a manner that prioritizes the employee’s needs and continuous development. The first two questions in the review are crucial as to how the review will report, as they are assigned scores. The last two questions can be used more freely as the system does not report on them at an organization-wide level.
Can I customize a different set of review questions based on one or more locations, divisions, departments, job titles, employment statuses or employees?
No. The same set of questions will be used for all review cycles, regardless of which set of employees the cycle applies to.
Can managers see their employee’s review before submitting their own review for the employee?
Yes. If the employee completes and submits the review before their manager, the manager will be able to see their employee’s performance review.
Can employees see their manager’s review about them, if the manager has completed the review before the employee?
Yes. If the manager completes and submits their review prior to the employee, the employee will be able to see their manager’s feedback before they submit their own review.
However, the only answers that are visible to the employee after the manager’s review has been submitted are those marked as “Visible to all” under Settings > Performance > Review questions. Questions marked as “Visible to Manager'' are going to be visible to the manager only, as well as to HR Managers of the domain.
Can more than one manager review an employee? Can I select which manager?
No, the system will automatically assign the review to the manager listed in the employee’ user profile.
Will managers and employees be notified when the other has completed their review?
Yes, both the manager and the employee will receive an email notification.
How do employees know how long they have to complete their reviews?
When you launch a review cycle, the system will notify employees when the review is open. Managers will get an email with a list of all the employees they need to complete reviews for. The system will also send recurring reminders to both employees and managers until their reviews are completed or the cycle ends.
Can you make a change to the performance review questions in the middle of the review period?
Yes. You can edit questions at any time if necessary, although it’s not recommended. Note that changes to questions will reflect on previous reviews and review cycles as well.
Can managers or employees complete their reviews after the deadline?
No. Performance reviews will need to be completed by their due date.
If a new hire is added to the system during the review cycle, will they be included in the review period?
Yes, new hires will be automatically included in the review cycle.
Can HR Managers access an employee's Performance tab and see their reviews?
Yes, HR Managers can always see the Performance tab of all employees, regardless of their access level.
If an employee’s manager changes, can the new manager see older performance reviews for the employee by the employee’s previous manager?
When an employee changes managers, previous performance reviews are visible by the new manager. The new manager can access the reviews between the employee and the old manager from the Performance tab of the employee’s user profile.
What if an employee changes managers during a review cycle?
In case a review cycle is active but a review hasn’t been submitted by the previous manager yet, the new manager can complete the review.
Review cycles & settings
Can I change the date, duration, or recurrence settings of a review cycle if it has already started?
No. These settings, as well as which employees the review cycle applies to, cannot be edited while the review cycle is open. You will first need to deactivate it, and then you will be able to edit it.
Are previous performance reviews lost if I delete the associated review cycle?
When a performance review cycle is deleted, all the reviews associated with that cycle are deleted as well.
Can I delete a review cycle while it’s open?
Yes, you can delete a review cycle while it’s running. The system will require strong confirmation to unlock the button. Note that the review cycle and all associated reviews will also be deleted from performance history.
Can I set a review cycle to start today?
It's not possible to schedule a performance review cycle for the same day. You will need to select the next day and the review cycle will open at 00:01. Email notifications to employees and managers are sent approximately at 07:00, according to the time zone setting of your portal.
How can I see which review cycles an employee is in?
This information is only available at the employee level, by visiting the employee’s user profile and reviewing the Performance tab.
What will the manager/employee see if they are included in more than one active review cycle?
When users navigate to My profile > Performance, they can see all of their review cycles, including past and currently active cycles.
What’s the maximum number of review cycles you can create?
There is no limit to the number of review cycles you can create.
What happens if an employee’s job title, location, department, division, or employment status change during a review cycle and the review no longer applies to them?
During an active performance review, if an employee's "job fields" (job title, location, department, division, employment status) change in a way, making that performance review inapplicable to the employee, there are two possibilities:
- If both sides have submitted their answers, the performance review will be kept without issues.
- If none or only one party has answered, then the review will be discarded.
